Refund Policy and Regulations for Dormitory Fees

To ensure smooth accommodation arrangements for students each term and to address issues arising from delays in entry, visa-related problems, and personal circumstances leading to failure in entering Japan or moving into the dormitory, which ultimately result in financial loss and vacant dormitory rooms, the academy has established and adjusted the following refund policy and related regulations after internal review and discussion:

  1. If a student cancels entry into Japan or receives a visa refusal due to personal reasons before the designated dormitory move-in date after the Certificate of Eligibility has been issued:
    A total of 50,000 JPY for the dormitory admission fee and 40,000 JPY for facility, fire insurance, and management fees will be deducted.
  2. If a student delays or cancels entry into Japan due to personal reasons after the Certificate of Eligibility has been issued (calculated from the designated dormitory move-in date):
    1. Cancellation within 1 month: 50,000 JPY dormitory admission fee, 40,000 JPY facility/fire/management fee, and 2 months of dormitory rent will be deducted.
    2. Cancellation within 2 months: 50,000 JPY dormitory admission fee, 40,000 JPY facility/fire/management fee, and 3 months of dormitory rent will be deducted.
    3. Cancellation within 3 months: No refund of any fees that have already been paid.
  3. If the visa process is suspended, terminated, or the visa is refused within Japan after the Certificate of Eligibility has been issued (calculated from the designated dormitory move-in date):
    1. Within 1 month: 50,000 JPY dormitory admission fee, 40,000 JPY facility/fire/management fee, and 2 months of dormitory rent will be deducted.
    2. Within 2 months: 50,000 JPY dormitory admission fee, 40,000 JPY facility/fire/management fee, and 3 months of dormitory rent will be deducted.
    3. Within 3 months: 50,000 JPY dormitory admission fee, 40,000 JPY facility/fire/management fee, and 4 months of dormitory rent will be deducted.
  4. When a visa is granted and the student successfully enters Japan:
    If the entry is delayed for any reason, dormitory fees will be charged starting from the originally designated move-in date, and the pre-contracted accommodation period will remain unchanged.
    Once the student has entered Japan, paid dormitory fees are strictly non-refundable.
    In special cases, adjustments to dormitory arrangements may be considered upon consultation.

① Any transaction fees related to refunds, both within Japan and overseas, shall be borne by the student.
② This refund policy and regulation apply to both long-term and short-term students.
