Refund Policy (Long-Term Courses)

1. Scope of Application

This policy applies to all individuals who wish to enroll in, or are currently enrolled in, long-term courses at this institute.

2. In Case the Certificate of Eligibility (COE) Is Not Issued

If the Certificate of Eligibility (COE) is not issued, the application fee will not be refunded.

3. In Case a Visa Is Denied After COE Issuance

If a visa is denied by a Japanese embassy or consulate after the Certificate of Eligibility (COE) has been issued, tuition fees, facility fees, textbook fees, and insurance fees will be refunded, provided that documents proving the visa denial are submitted. The application fee and enrollment fee are non-refundable.

4. Withdrawal After Visa Issuance and Before Arrival in Japan

Even after obtaining a visa, tuition fees, facility fees, textbook fees, and insurance fees will be refunded only if a written notice of withdrawal is submitted by the deadline specified by the school. The application fee and enrollment fee are non-refundable.

The deadline for submitting a notice of withdrawal is the last day of the month preceding the enrollment month.

  • April Term: By March 31
  • July Term: By June 30
  • October Term: By September 30
  • January Term: By December 31

5. Withdrawal After Arrival in Japan

In principle, no refunds will be made in the event of withdrawal after arrival in Japan. However, students who must return to their home country due to unavoidable circumstances such as illness or accidents, and who have fully paid one year of tuition, may be eligible for a refund. In such cases, only if a withdrawal form is submitted by the designated deadline, an amount equivalent to six months of unreceived tuition minus an administrative fee of JPY 60,000 may be refunded. Supporting documents may be required.

The deadlines for submitting a withdrawal form eligible for a refund are as follows:

  • April Term: By September 30 of the enrollment year
  • July Term: By December 31 of the enrollment year
  • October Term: By March 31 of the following year
  • January Term: By June 30 of the enrollment year
  • *1 Refunds are not available for installment or split payment plans.
  • *2 No refund will be made if the period of study from the course start date to the withdrawal date exceeds six months.
  • *3 Application fees, enrollment fees, facility fees, textbook fees, and insurance fees are non-refundable.
  • *4 Withdrawals due to employment, further education, or visa status changes within Japan do not constitute unavoidable circumstances and are not eligible for refunds.

6. Disciplinary Dismissal or Expulsion

No refunds will be made in cases of disciplinary dismissal or expulsion due to violations of laws or school regulations.

7. Refund Method and Timing

Refunds will, in principle, be made by bank transfer by the end of the month following the receipt of a refund request. In cases of withdrawal after arrival in Japan, refunds will be transferred to the designated bank account by the end of the month following confirmation of the presentation of an invalidated residence card.

8. Other Matters

Matters not stipulated in this policy shall be governed by the school regulations and other related rules separately established by this institute.
